Privacy Policy
How information is handled when you use this website or contact our team.

1. About this policy
WeldingRobot.com.au (the Website) is owned and operated by M.A.P. Services (Vic) Pty Ltd (M.A.P. Services, we, us or our). It is a marketing, educational and enquiry resource about robotic welding and industrial automation, not a separate business.
We respect the privacy of visitors. This policy explains the information involved in using the Website and contacting us, and how to raise questions about personal information. Applicable Australian privacy laws govern our handling of personal information.
2. Information we collect
Website enquiries are handled by M.A.P. Services through email. For sales and project enquiries, use sales@weldingrobot.com.au. You choose what information to provide, which may include:
- Your name, email address and phone number.
- Your company or business name.
- Manufacturing operations, automation requirements and proposed project details.
- Other information you choose to include in an enquiry.
When you submit a contact or quotation form, Cloudflare processes the submitted details and sends an email to our sales Google Group, which distributes it to M.A.P. Services staff. Your email address is included as the reply address so staff can respond to you from their business email accounts. The Website does not create a separate enquiry database or store form drafts in browser storage. Your browser may offer its own autofill or form-history features.
Cloudflare provides website hosting and DNS services. Delivering pages and protecting the service may involve processing technical request information, including IP addresses, browser and device information, requested URLs, timestamps and security events. This infrastructure processing is separate from information you voluntarily include in an enquiry.
Please provide only information relevant to your enquiry. Avoid sending sensitive personal information or confidential third-party material unless you have first agreed an appropriate way to provide it.
3. How information is used
Information provided in an enquiry may be used to:
- Respond to your questions and requests for information.
- Discuss suitable products and automation solutions.
- Prepare quotations or project proposals.
- Communicate about products or services you have requested.
- Administer the enquiry and any resulting business relationship.
- Meet applicable legal and regulatory obligations.
Technical request information may be processed to deliver, operate, maintain and protect the Website.
The Website has no mailing-list subscription feature and does not automatically enrol visitors in promotional emails. Any separate electronic direct marketing must comply with applicable Australian spam and privacy laws.
4. Disclosure and external services
Enquiries are received and managed by M.A.P. Services using Google Workspace email services. Information may be accessible to authorised personnel and relevant service providers where needed to handle the enquiry or operate our services. Cloudflare provides hosting, DNS, form processing, Email Sending and Turnstile spam protection.
Relevant project information may be shared with manufacturers, suppliers or integration partners where reasonably necessary to assess or respond to your enquiry. This may include technical feasibility, welding processes, robot selection, product suitability and compatibility, project specifications, pricing, availability and proposed automation solutions.
This does not mean that every enquiry is shared externally. If your project requires particular confidentiality arrangements, please discuss these with us before providing sensitive material.
Information may also be disclosed where required or authorised by law. This policy does not authorise unrelated third parties to use your information for their independent marketing.
Links to M.A.P. Services’ main website, manufacturers and social-media platforms lead to independently operated websites. Their own privacy policies apply when you visit them. Linking to those services does not embed their content or sign you into them on this Website.
5. Cookies and website technologies
We do not use Google Analytics, Meta Pixel, advertising pixels, embedded videos or social-media feeds on this Website.
The Website uses Cloudflare Web Analytics to measure aggregate website usage and performance. Cloudflare states that this service does not use cookies, local storage or fingerprinting to identify visitors. See Cloudflare's Web Analytics information for details.
The enquiry forms load Cloudflare Turnstile to help distinguish legitimate submissions from automated abuse. This security check may process technical browser, device and network information. The form handler also uses temporary rate-limit counters derived from network information to limit repeated attempts. Enquiry contents are not included in those counters or deliberately logged by the form handler. See Cloudflare's Privacy Policy for information about its processing.
Cloudflare may process traffic and security information independently of optional analytics cookies. Depending on the hosting and security features applied to a visit, Cloudflare may also use operational or security cookies. See Cloudflare’s cookie information for details of its technologies.
You can manage cookies through your browser settings. Blocking essential security technologies may affect access to the Website.
If additional analytics, advertising, embedded content or other non-essential tracking is introduced, this policy and any applicable consent arrangements will need to be updated to reflect the actual service.
6. Storage, security and overseas processing
Website enquiries are managed through Google Workspace email services. We do not use a separate CRM or enquiry database for website submissions. Email correspondence, technical records and, depending on provider settings, archived or backup copies may still be retained by us or our service providers.
We take reasonable steps to protect personal information against unauthorised access, misuse, loss or disclosure and to limit access to personnel who need it for legitimate business purposes. No electronic transmission or storage system can be guaranteed to be completely secure.
Google Workspace and Cloudflare may process information through infrastructure outside Australia. Supplier communications may also involve overseas recipients where relevant to assessing an enquiry. We do not represent that all personal information is stored in Australia.
The provider's services and applicable settings affect where information is processed. See Google's data processing terms and Cloudflare’s Privacy Policy for information about their processing arrangements.
Applicable Australian privacy obligations continue to apply to our handling of personal information, including overseas disclosures. Contact info@mapserv.com.au if you need details about the handling or overseas recipients of a particular enquiry before providing information.
7. Retention of information
We aim to retain enquiry information only for as long as reasonably necessary for enquiry handling, business administration or applicable legal requirements. The relevant period depends on the enquiry, any resulting project or business relationship, and the records concerned.
Email and service-provider records may remain subject to their applicable retention settings, including any archive or backup arrangements. We do not promise a fixed deletion period or immediate removal from every copy.
Contact info@mapserv.com.au to ask about retention of a particular enquiry or to request deletion of information that is no longer needed. Requests will be considered subject to applicable legal obligations.
8. Access and correction
Our privacy contact address, info@mapserv.com.au, is monitored for privacy enquiries and requests about access, correction, retention or deletion of personal information. Describe the information or enquiry concerned so we can identify the relevant records.
We may need to confirm your identity before providing access or making a correction. Requests will be considered in accordance with applicable Australian privacy laws, including any lawful exceptions.
9. Privacy concerns and complaints
If you have a concern about how your personal information has been handled, please email info@mapserv.com.au with the details of your concern and how you would like us to respond.
We will review the complaint and seek to respond within a reasonable timeframe. If you are dissatisfied with the response, you may, where applicable, contact the Office of the Australian Information Commissioner for information about further complaint options.
10. Changes to this policy
This policy may be updated to reflect changes to the Website, business practices or applicable legal requirements. The latest version will be available on this page with its last-updated date.
For questions about this policy, contact M.A.P. Services (Vic) Pty Ltd at info@mapserv.com.au.
